How Licensing works in Notes Migrator for SharePoint 

Notes Migrator for SharePoint contains a license control system and will behave differently depending on the type of license you have installed.  There has been some confusion about how licensing works and I know that some our customers and partners have been frustrated by that.  First, I want to deliver then news that Notes Migrator for SharePoint version 4.5 had made things a lot simpler.  Second, I think a post about how licensing works in our product is long overdue...

 

First, a short recap of the different types of license that might come into play:

Trial Licenses.  You don't need them!  Starting with Notes Migrator for SharePoint 4.5, anyone who downloads the trial version of our tool [link] is automatically in "restricted trial mode" which means that you can only migrate 10 records per database and is restricted by agreement to non-production use.

Term Licenses (a.k.a. Evaluation Licenses).  These are really just Full Licenses (see below) that are provided courtesy of your Quest Sales rep, typically for Proof Of Concept projects, etc.  They do not contain the above 10 record-per-database restriction, but they typically have a 30-60 day time limit and allow for only 5-10 databases to be migrated. Again they are restricted by agreement to non-production use.

Client-Only Licenses.  You don't need them!  Starting with Notes Migrator for SharePoint 4.5, if you are deploying our tool in a client-server scenario, you do not need to install any client license at all.  As long as the SharePoint server you are migrating to has a license, you are all set.  This applies both to the "classic" bulk migration client and the new end-user Desktop client.

Ongoing Licenses (a.k.a. Full Licenses).  These are the ones you get when you actually buy something.  Since the product is sold per-Notes-database-migrated, the license file you receive will be encoded with the number of databases you purchased.  Even though we do not charge per machine, the license files themselves are bound to specific machines.

 

So how do you get these licenses, anyway? 

1.  The "Notes Migrator for SharePoint License Number" email.  Both Term and Ongoing licenses are issued automatically when your Quest sales rep enters an order  into an accounting system.  You should receive an email similar to the one below.  This email contains your license number, which is your key into the Quest licensing system.  (Are we excited yet?)

2. The Generate License File page.  Clink on the URL at the top of the email to go to the Generate License File page.  Enter your email address and, if prompted, your contact information.   Your email address is important, since once you complete this process you because the "owner" of the license.  All future license files issued under this license number get sent to you.  If you ever want to return to this page, you will need to sign in with the same email address.

3.  The License Details page.  Once you have signed in you will see details about the license (including the term and how many databases it is good for.  The next step is to generate a license file that will work on your SharePoint servers.  To accomplish this you need to enter the host names (a.k.a. machine names) for each server where you plan to deploy Notes Migrator for SharePoint.  Typically you would want to install on one or more "Front-End" SharePoint servers but not the other servers in your SharePoint farm.  You can add as many machines as you want here, and then press Submit when you are done.

Note: If you do not know your server's hostname, start a command prompt and type "hostname".

4.  The "Your License File" email.  Next, you will receive an email containing your actual license file (a .ASC file) as an attachment.  Detach this file and put it in the file system on your SharePoint server (or an accessible network share).

5. Installing the license.  Depending on whether you are using the Notes Migrator for SharePoint Import Service or are running the Notes Migrator for SharePoint Client directly on your SharePoint server, you will be prompted to import a license file after you install or when you first run the program. For server installations, you add a license file later by running "About Notes Migrator for SharePoint Services" from the Start menu. For client installations, you can access the About box (from the Notes Migrator for SharePoint system menu on the top left corner) and press "Import License".

Browse for the .ASC license file described above, and then you are done.

6. Checking Status.  At any time, you can press the License Info button on the About Box to see information about your license file.

Note the message in the middle that says something like "This license entitles you to migrate 50 databases (based on replica IDs).  You appear to have migrated 16 unique databases on QUEST-E52A78ADA."

7. Getting help.  If you get stuck with any of the above, need to change your email address, or anything else license related, simply visit http://support.quest.com/licensing/Default.asp.  (Note the the Quest's global support team can help you with lots of things, but not with license issues.)
